Manage merchants and rewards

Run the merchant pilot, manage owner invitations and approve rewards.

Open Merchants to manage merchant prospects and owner access. The merchant pilot allows up to five active or invited merchants. Prospects can be recorded without using a pilot place; creating an invitation reserves one.

Add a merchant

Choose Add merchant, enter the business name, offering type (Products, Services or Products and services) and contact details, then save. Saving creates a Prospect and does not create an account or send a message. Review the intended owner's email before choosing the invitation action.

The merchant stages are Prospect, Invited, Active and Suspended. An Invited stage records an unused, unexpired invitation; it does not confirm email delivery. Email-service delivery and owner acceptance are separate statuses.

Invite, resend or revoke

Choose Review recipient and confirm the merchant, contact and email before selecting Send owner email. The invitation expires after seven days. Resend invitation invalidates older unused links before creating a replacement, including when the replacement email fails. Revoke invitation prevents acceptance of the unused link.

The delivery state may be Not sent, Sending, Accepted by email service, Send failed or Delivery unconfirmed. Inbox delivery and owner acceptance must be checked separately. If the five-place pilot is full, record the prospect and wait for a place to become available; do not send a sixth invitation.

Review rewards

Open Rewards and choose Awaiting review. Inspect every submitted reward's image, product or service description, stock, availability, collection dates, reservation duration and redemption terms. Choose Approve publication only after the review is complete, or choose Request changes with a clear note.

Publication is always an explicit platform administrator decision. Drafts do not publish automatically, and there is one published reward per merchant in the pilot.

Set the claim policy

Before the first reward is published, set one of these pilot rules in the reward settings:

  • One per merchant: an account can claim one sign-up reward from each pilot merchant.
  • One across the pilot: an account can claim one sign-up reward across all pilot merchants.

The policy locks when the first reward is published. It cannot be changed through the normal settings form after that point. These are account limits and do not establish one reward per human.

Recover from errors

If a save or invitation request times out, refresh the merchant details and review the current stage and invitation history before retrying. If a reward is submitted, refresh Awaiting review before acting again. If the pilot is full, do not revoke an invitation solely to make room without confirming that access should end.
